Sales Assistant

Job Description: 

Awe Sum Organics, Inc. is a well-established importer and marketer of organic fruit.  We’ve been in business since 1985, and we are the leader in the industry, with domestic and international product supply and distribution throughout the U.S. and Canada. We are currently seeking a Sales Assistant in Capitola, CA.

The Sales Assistant position will provide the sales team with support and coordination. It requires a hands-on approach and close collaboration with Sales, Inventory Control, our remote warehouses, and transportation partners. The candidate must possess excellent communication skills, be highly organized, excel at data entry, and have excellent planning and follow-through skills.

Responsibilities & Duties: 
         Main Responsibilities:
  • Verifying bills of lading for shipped orders, and then sending passings and sales invoices to customers
  • Managing key steps in the ordering process for the sales team (sending new orders to our remote warehouses and following-up on orders to ensure they have shipped)
  • Supporting Sales team with EDI order-management
  • After-hours sales support (phone and email)
  • Supporting Program Manager and Sales Team with various tasks

        Primary Duties:

  • Audit and send new orders to our remote warehouses as soon as they are entered by a salesperson
  • Assist with order entry, as directed by Sales Team
  • Act as intermediary with our warehouses, sales team, and transportation carriers to follow-up on orders not shipped
  • Audit bills of lading for accuracy against our sales documents
  • Assist in order management through various EDI platforms
  • Order entry as directed by sales
  • Create sales invoices and passings for customers
  • Monitor inventory and report oversells to sales team
  • Interface with our transportation vendors to arrange for delivery of our product to customers
  • Work closely with our Inventory Controller to maintain inventory accuracy
  • Prepare daily problem arrival report
  • Assist with customer credits
  • Perform clerical duties that support the sales process – answering phones, sending faxes, modifying and emailing our price list, running and distributing weekly sales reports, and filing paperwork
  • Produce daily Problem Arrival report detailing all pending issues
  • Assist with customer credits, including Price After Sale (PAS) and Return to Shipper (RTS) orders
  • Perform additional duties assigned by management

 Required Skills:

  • Proven experience with MS Excel, Word, Outlook
  • Fresh produce (sales and/or production) experience is desired
  • Strong analytical skills with the ability to make sound decisions and problem solve
  • Attention to detail
  • Ability to stay focused in the midst of an active and changing environment, and stay calm under pressure
  • Ability to multitask and prioritize multiple urgent duties
  • Excellent communication skills – verbal, written, interpersonal
  • A “can-do” attitude with the ability to take initiative on processes outside of defined job scope; including motivation to research and provide proactive solutions to management

Miscellaneous:

  • During the non-peak season (September through February), this position may work fewer than 40 hours per week.
  • During the peak season (March through August), this position may be required to work overtime with little extended time off.
  • Minimal travel to represent Awe Sum Organics, Inc. at trade shows or conventions.
Skills: 

Language

  • Ability to read, analyze and interpret common industry information, orders and packing information. 
  • Ability to respond to common inquires or complaints from customers. 
  • Ability to write clearly and present numerical data efficiently.
  • Ability to communicate and effectively present information with management and others. 
  • Spanish language, a plus.

Mathematical

  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.
  • Ability to calculate rate, ratio, and percent.

Reasoning Ability

  • Ability to define problems, collect data, establish facts, and draw valid conclusions. 
  • Ability to interpret an extensive variety of information and deal with several abstract and concrete variables.

  • This job is performed indoors 100% of the time.
  • While performing the duties of this job, the employee sometimes works near moving mechanical parts and is occasionally exposed to the risk of electric shock, and moves up and down stairs.

  • The temperature of the work environment is moderate indoors and ranges from 60 to 80 degrees.

Qualifications: 
  • Associate’s degree or equivalent experience, with a minimum of 1 to 2 years related experience.  Bachelor’s degree preferred
  • Produce knowledge highly desirable
  • Computer proficiency in Word, Excel, Famous
  • Excellent telephone communication, analytical and problem solving skills
  • Ability to learn new skills and tasks as needed
  • Ability to work within a team environment
