Job Description:
The ideal candidate is a high-energy, detail-oriented professional who thrives in a fast-paced environment. In this position, you will be responsible for Accounts Receivable, Accounts Payable and Archiving/Filing. The position has high volume data entry and requires accuracy and attention to detail. You will be working closely with other accounting clerks in the department.
Responsibilities:
- Accounts Receivable – Data entry of Sales Orders for Product, accounts receivable charges, accounts payable charges and reconciling to the Profit Margin.
- Accounts Receivable – Prepare invoices and email to Sales and/or Customer.
- Accounts Receivable – Cross Train on International Documentation. Example: Phytosanitary Certificates.
- Accounts Receivable – Responsible for keeping A/R file room organized and up to date. Prepare and document files to archive in offsite storage.
- Accounts Payable – Key duties include purchase matching product and freight invoices. Verifying and reconciling invoices. Work with sales staff on discrepancies in a timely manner.
- Accounts Payable – Voucher general office invoices.
- Payment execution – Schedule and process payments to vendors through weekly check runs.
- Accounts Payable – Reconcile vendor statements with internal records to ensure accuracy and resolve any discrepancies or outstanding balances.
- Accounts Payable – File paid files for accounting group.
- Miscellaneous – Answer phones, pick up documentation at Salinas City Chamber, other duties as requested.
Qualifications:
- Excellent written and oral communication skills.
- Outlook, Word and Excel experience a plus.
- Famous Accounting software experience a plus but not required.
- Proficient in English.
- Agricultural experience a plus.
- Strong attention to detail and a strong desire to take on new job tasks or responsibilities.
- Knowledge of office methods, practices, and equipment.
- Computer literate in Microsoft office, i.e. Word, Excel, 10-key by touch.
- Ability to establish and maintain effective work relationships with coworkers, vendors and customers.
Education:
- High School diploma or equivalent required.
- Some college, Associate’s, or Bachelor’s degree preferred.
- An equivalent combination of experience (5 years plus), education and training that would provide the level of knowledge and ability required for the position.
Skills Required:
- Proficient in English (spoken and written).
- Must be capable of effectively communicating with customers, vendors and co-workers.
- Strong attention to detail, knowledge of bookkeeping, proficiency in accounting software and communication skills highly desired.
