Appointment Desk and Outside Warehouse Coordinator

Job Description: 

Schedule and secure a pick-up time for customer orders for the NewStar loading dock.  This involves answering customer phone calls timely and scheduling an appointment, pick-up time, that meets product availability.  Ensure the customer is checked-in and out of the loading dock efficiently and timely.  Identify customers who were a “no show” to their prescheduled appointment, call “no show” customers and reschedule a new customer pick-up time.

Requirements: 
  • Ability to work in fast-paced/high-pressure environment (working in collaboration with business and customer service, as well as distribution and production team). 
  • Critical thinking, sense of urgency, strong analytical ability, strong written and oral communication skills, extreme accuracy, detail oriented, able to raise and effectively deal with issues at all levels of management, ability to work independently, ability to suggest procedures to improve processes.
Responsibilities & Duties: 
  • Answer customer phone calls in a timely and professional manner.  Schedule pick-up time/appointments for customers.
  • Determine if product is available before scheduling the customer pick-up/appointment by looking up information in Navision, talking with Distribution and Production, assimilating and analyzing the information to determine when product will be available and coordinating appointments based on product availability.
  • Responsible for scheduling inbound Receiving appointments for finished goods by other vendors. 
  • Ensure customers with “Standing Appointments” are on the schedule for their assigned appointment time and at the end of the day, ensure customers have valid appointments. 
  • Complete the “Ship Out” process for certain customer orders in the “I-trade” system. 
  • Review customer orders that did not pick-up their order from the previous day, call the customer or trucking company, and reschedule a pick-up time.
  • Link multiple orders that should be loaded onto one truck to ensure no order or product is left behind. 
  • Perform virtual warehouse duties in the Navision system.
  • Receive bill of ladings from warehouses and input the receiving and shipping transactions.
  • Gather the local delivery shipping and billing data and send the third party billing service weekly.
Qualifications: 
  • High School diploma and minimum two (2) years administrative work experience in a fast paced professional work setting, preferably in a customer facing position and/or directly related position and industry.
  • English/Spanish bilingual and bi-literate preferred. Intermediate level Microsoft Excel skills required.  Working knowledge of Microsoft Outlook and Word required. 

Shift/Hours:

  • Monday through Friday, 3:00 p.m. - 12:00 a.m., and alternating Saturdays as needed.
