Our brand new office is scheduled to be open soon in Newport Beach, CA. We are looking to add to our team an experienced Administrative Professional who will jump right in and be a “hub” for our team and efforts here in North America. The ideal candidate will have strong planning and organizational skills that will keep the office running smoothly and stress-free. We are seeking an energetic individual who is ready to roll up their sleeves and help support the various marketing projects and events for the Newport Beach, CA office and other sales offices in the US, as well as stay in tune with our global initiatives, priorities and projects.

Job Responsibilities:

Oversee the establishment of office services – Office equipment and stationary, IT support, security, cleaning, health and safety requirements etc.

Arrange flights, accommodation and travel itineraries for team members.

Account administration ensuring vendors submit correct invoices and are paid in a timely manner, through the internal K2 payment system.

Support the completion of all purchasing card statements, expense claims and travel summaries for team members.

Maintain regular market pricing records to submit to our International office in a specified format.

Maintain a central file of key information, for example competitor and industry intelligence

Manage and maintain comprehensive filing support for the department.

Coordinate team meetings and other meetings as required.

Understand and be involved in the activities, workflows, projects, etc. within the wider team as appropriate and required.

Support colleagues and groups visiting North America and also visitors to trade shows and events such as the PMA trade fair.

Oversee the store and distributing of marketing materials.

Other duties as requested by the Market Manager North America.
Qualifications:
- Excellent administration skills and relevant experience
- Office management experience
- Experience in project management
- Outstanding keyboard expertise and technical ability, making good use of all available technology.
- Advanced knowledge of Microsoft Suite
