Staff Accountant – Full-Time Position

Position Summary

Pure Fresh LLC is seeking a detail-oriented and experienced Staff Accountant to support the company’s daily accounting operations, financial closing processes, account reconciliations, grower accounting, financial reporting, and profitability analysis.

The ideal candidate will have accounting experience within the fresh produce, agriculture, importation, distribution, transportation, or logistics industries. Experience with FAMOUS Software is strongly preferred.

This position requires frequent coordination with Procurement, Sales, Logistics, and Operations to ensure that sales, inventory, product costs, grower settlements, freight, handling, importation expenses, claims, and other operational transactions are recorded accurately and on a timely basis.

The successful candidate must be able to work independently, meet deadlines, communicate effectively across departments, and perform successfully in a fast-paced environment.

Key Responsibilities

  • Record, review, and maintain accurate daily bookkeeping and general ledger transactions.
  • Assist with monthly, quarterly, and year-end financial closing processes.
  • Prepare and post journal entries, accruals, account adjustments, and reclassifications.
  • Prepare monthly financial statements, including the Balance Sheet, Profit & Loss Statement, and supporting account schedules.
  • Prepare and analyze monthly Profit & Loss statements, including budget-to-actual and prior-period variance analysis.
  • Review gross margin and profitability by customer, product, commodity, grower, shipment, program, and business unit.
  • Identify and report unusual costs, margin erosion, pricing discrepancies, freight variances, claims, rejections, unsold inventory, and dumped product that may affect profitability.
  • Prepare clear P&L and profitability reports for Management, highlighting significant variances, financial risks, operational issues, and corrective actions required.
  • Coordinate with Sales, Procurement, Logistics, and Operations to validate the accuracy of revenue, product costs, freight, handling expenses, sales deductions, and gross margins.
  • Reconcile bank accounts, credit cards, subledgers, and general ledger accounts.
  • Perform monthly reconciliation of subledgers to the general ledger for Accounts Payable, Accounts Receivable, inventory, grower accounting, and other relevant accounts.
  • Monitor Accounts Payable and Accounts Receivable transactions and ensure that records remain accurate and up to date.
  • Prepare weekly Accounts Payable and Accounts Receivable aging reports for Management.
  • Investigate account discrepancies and coordinate their timely resolution.
  • Perform grower accounting in FAMOUS Software.
  • Prepare grower settlements, grower reports, and financial performance analyses.
  • Review grower charges, advances, product sales, freight, handling expenses, commissions, deductions, and other settlement-related transactions.
  • Coordinate with Procurement and Operations to ensure that grower volumes, costs, and settlement information are complete and accurate.
  • Assist in the preparation of the annual operating budget.
  • Prepare weekly cash flow, budget, and financial performance reports.
  • Compare actual financial results against budgets, forecasts, and prior periods and explain material variances.
  • Prepare monthly analytical and well-documented financial reports for Management.
  • Prepare monthly and quarterly financial reports and supporting schedules for Management and the company’s external CPA.
  • Review and monitor product-related costs, including freight, transportation, handling, importation, customs, storage, repacking, and other operational expenses.
  • Monitor and report unsold inventory, aging inventory, product troubles, claims, rejections, donations, and dumped product.
  • Review units received, sold, adjusted, rejected, or dumped to help ensure that inventory and financial records are properly reconciled.
  • Assist with internal and external audits by preparing schedules, reconciliations, reports, and supporting documentation.
  • Maintain organized, complete, and accurate accounting records.
  • Identify opportunities to strengthen internal controls, improve reporting, increase efficiency, and automate accounting processes and procedures.
  • Communicate effectively with employees, Management, growers, customers, vendors, transportation providers, and external accounting professionals.
  • Perform other accounting and administrative duties as assigned.

Qualifications and Requirements

  • Bachelor’s degree in accounting, Finance, or a related field, or an equivalent combination of education and relevant professional experience.
  • Minimum of five years of relevant accounting experience, preferably within the fresh produce, agriculture, importation, distribution, transportation, or logistics industries.
  • Experience with general ledger accounting, journal entries, account reconciliations, month-end closing, and financial statement preparation.
  • Experience preparing and analyzing Profit & Loss statements, gross margins, budgets, forecasts, and financial variances.
  • Experience with Accounts Payable, Accounts Receivable, bank reconciliations, credit card reconciliations, and inventory accounting.
  • Grower accounting experience is preferred.
  • Experience with FAMOUS Software is strongly preferred.
  • Strong Microsoft Excel and Microsoft Office skills.
  • Excellent organizational and time-management skills.
  • Ability to prioritize responsibilities, work independently, and meet deadlines.
  • Strong analytical, problem-solving, and financial reporting skills.
  • Strong attention to detail, accuracy, and follow-through.
  • Ability to communicate effectively at all levels of the organization and with vendors, growers, customers, and external professionals.
  • Ability to collaborate effectively with Procurement, Sales, Logistics, and Operations.
  • Strong sense of urgency, flexibility, discretion, accountability, and professional judgment.
  • Bilingual English-Spanish skills are preferred.
