SUMMARY. The Human Resources Generalist is responsible for the administration of a broad range of human resources functions, including recruitment, training and development, benefits administration, Worker’s Compensation administration, employee and labor relations, social and regulatory compliance and reporting, HRIS, and recordkeeping.
REPORTING RELATIONSHIP. The Human Resources Generalist reports directly to the Human Resources Director and supports human resources leadership and senior management from assigned enterprises. Assigned human resources personnel reports to the Human Resources Generalist.
ESSENTIAL DUTIES AND RESPONSIBILITIES. The following are essential duties and responsibilities.
Recruitment
- Generate and maintain job descriptions.
- Administer internal job postings, and external job ads with third-party services.
- Screen, maintain, and forward resumes that meet hiring manager’s criteria for review and consideration.
- Schedule and coordinate interviews with potential candidates and hiring managers.
- Maintain records of recruitment activities.
- Coordinate background checks for specific jobs.
- Draft and coordinate approved conditional offers of employment.
- Administer new and rehire registration.
Training and Development
- Conduct new and rehire orientation and training.
- Conduct pre-season, corrective action, and mandated refresher training.
- Assist with and coordinate annual and refresher supervisor training.
- Administer CPR & First Aid certification training for supervisors and key personnel.
- Maintain train-the-trainer certifications as assigned by the Company.
Benefits Administration
- Administer enrollments, monthly participation eligibility and maintenance, and assist with any plan issues and discrepancies for Sun Pacific’s Group Health Plan, enhanced optional life insurance, 401(k) retirement savings plan, birthday gift program, annual gift card program, scholarship applications, and any other employment-related benefit offered to employees.
- Track and audit monthly plan participation for ACA reporting.
- Generate and provide employee participation and census reports.
- Administer annual open enrollment.
- Provide required information, such as but not limited to annual notices to employees.
- Maintain all enrollment and change forms, including recordkeeping of all related documents.
- Provide detailed orientation on all employment benefits at time of hire, and at least annually during refresher training for employees.
- Audit co-contributions, reimbursements, and participant payment plans with payroll.
- Assist with benefit policy administration, unemployment insurance, Paid Family Leave and disability insurance claims.
- Administer personal and protected leave of absences in accordance with state and federal laws and regulations, including Company policy and best practices.
Workers’ Compensation
- Respond to and/or coordinate initial response and care for reported injuries and illnesses in the workplace.
- Coordinate transportation of workers with non-life-threatening injuries to designated treating physician.
- Communicate with occupational injury clinics to maximize level of understanding of injury or illness, and employee’s job to help physician determine best care/treatment and ability to return to work with or without work restrictions, and with or without reasonable accommodation.
- Document, report, and monitor Workers’ Compensation and first-aid claims.
- Maintain Cal/OSHA logs in current time for current and previous years.
- Track and report all labor hours for Company employees, temporary employees, and FLC employees on a monthly basis.
- Maintain Company Safety Incentive Program for accurate distribution of annual incentive pay for eligible safety teams.
- Coordinate total-temporary disability leave, modified/alternative work, light duty with management and employees.
- Communicate and coordinate with employees, managers, and third-party claim administrator on overall claim administration, compliance, and related support.
Employee and Labor Relations
- Assist with employee recognition and reward programs, such as end of season events.
- Assist with responding to, documenting, investigating, and reporting grievances and issues recognized by employees, contract employees, third-party representatives, and visitors.
- Assist with post-investigation corrective action, employee discipline, and performance management efforts.
- Coordinate final pay with payroll and employee’s manager to provide timely pay of final wages.
- Complete the Separation Checklist and coordinate with employee and supervisor to ensure all items are collected and assigned tasks are completed as part of or immediately following separation of employment.
- Ensure Farm Labor Contractors are vetted, have approved service agreement and related exhibits, and meet Company requirements all times when services are provided.
- Audit FLC invoices, payroll registers, time and attendance records, and check stubs for wage and hour compliance and best practices on a random and targeted manner.
- Audit FLC field operations for safe work conditions and best practices on a random and targeted manner.
HRIS
- Maintain the confidentiality of records and proprietary information, as required by law and Company policy.
- Maintain HRIS data for accurate and current analysis and reporting.
- Assist with maintaining organizational charts (reporting relationships) and organizational structures (functions).
- Assist with annual EEO-1 Component Data Collection (Employer Information Report), California Pay Data Reporting, and any other mandated reporting.
- Report labor data to other departments or any member of management authorized to obtain requested information.
- Maintain all employment records in compliance.
- Administer and respond to verifications of employment within Company guidance and the law.
- Ensure garnishment and levy orders are forwarded, processed, and managed by payroll department.
Compliance
- Assist with code of conduct and social compliance audits, including corrective action plans.
- Ensure all employment forms, information, policies, pamphlets, and handouts are the latest available versions.
- Ensure all binders with state and federal posters and notices, including employment documents are always maintained to ensure none are expired or outdated.
- Assist with wage and hour compliance, randomly spot-checking time and attendance records, payroll records and wage statements.
- Assist with ensuring compliance with all federal, state, and local laws and regulations, including enforcement of all Company policies, procedures, and best practices.
- Perform periodic and targeted internal self-audits and coordinate corrective action with executive and human resources management.
General Administration and Support
- Answer and provide assistance with incoming calls during regular business hours.
- Order and maintain budget-approved office supplies for the human resources office.
- Maintain office equipment assigned to human resources.
- Perform all other duties, tasks, projects, and tasks as assigned by human resources management.
DESIRED QUALIFICATIONS. The qualifications listed below are representative of the knowledge, skills, and abilities required, unless specified otherwise.
- 3+ years’ experience working at a mid-to-high level of human resources administration or related.
- Bachelor degree in human resources management or related field.
- PHR certification, desired.
- Proficiency with MS Office applications, with emphasis in Excel.
- Proficiency with HRIS systems and similar database platform.
- Strong understanding of HR processes and administration.
- Knowledge of applicable employment and labor laws and regulations.
- Strong written and oral communication skills in both English and Spanish, desired.
- Exemplary business ethics and professionalism when performing and representing the Company.
- Ability to effectively and accurately administer and maintain employment benefit programs.
- Ability to provide effective training for all levels of employees, including supervisory employees.
- Detail oriented, specifically with respect to data gathering, maintenance, reporting, and recordkeeping.
- Strong business ethics and ability to maintain employee and business confidentiality.
- Ability to work independently, manage multiple projects, and meet deadlines.
- Ability to work safely and effectively in packing house, cold storage, farming and crop harvesting environments.
- Valid driver’s license and insurable driving record.
COMPENSATION.
- Hourly pay rate offered is $30.00-$32.00, depending on experience.
