Office Administrator

Job Description: 

This individual will work hands on with the Maroa Farms Operations team to ensure that all Administration, Food & Health & Safety activities are being handled, communicated, and followed up on as per company policy and procedures and that all required training and documentation is administrated accordingly. Willing to work within the office and greenhouse environment on a regular basis.

Position Reports to: 
General Manager
Requirements: 
  • College/University degree in Office Administration and background in Human Resources
  • Work experience 2-3 years an asset
  • Greenhouse/farming industry experience an asset
  • Must maintain a valid US passport and be willing to travel periodically for international business meetings and training
  • Proficiency in use of English language with the ability to communicate effectively and professionally, present information and direction and field questions from manager, employees
  • and external contacts
  • Must be a high-performance team player and willing to work in a dynamic, growing, demanding and fast paced environment
  • Willing to work hands on the production floor to conduct audits, checks, and train personnel
  • Must be a self-starter and willing to work flexible hours
  • HACCP, Health & Safety certification programs experience a major asset
  • Take ownership of the job and have excellent time management skills
  • Strong knowledge of state and federal laws and requirements to maintain compliance to all relevant statues and guiding principles  is a bonus (OSHA, HAZMAT, DOL, etc)
Responsibilities & Duties: 

Administration:

  • Receptionist and external administration contact
  • Tracking labour and staff hours and forwarding to appropriate payroll divisions
  • Contact for payroll, Human Resources and Administration inquires
  • H2A Seasonal Workers Program is administered, all regulations and procedures met, obligations carried out, and duties are followed up and administered in subsequent years
  • Main contact for DOL, State, H2A Consulting agency
  • Assist General Manager with employment resources
  • Implementing and monitoring Food Safety & Health and Safety programs
  • Facilitator between employment agencies and support staff to ensure labour needs are met
  • Processing all hires, paperwork, training, notification to our payroll provider
  • Communicating records for time off, vacations, etc
  • Enforcing our Company Code and Conduct policies
  • Backing up Human Resources Manager & Director of FS & General Manager with the day to day needs at the Coldwater site

Food Safety:

  • Provide advice and assistance with development and implementation of policies, procedures and documentation
  • Maintain documents, database, records, binders & filing
  • Corrective Action & Preventative Measures – assist with logging and tracking of non compliance and FS incidences, do investigations, coordinate follow-up and bring outstanding issues to closure
  • GMP- assist in development of rules, conduct audits, and maintain records
  • Audits – third party, government customer – assist with audit preparation, organization and follow-up
  • Conduct routine audits of internal food safety program, product specifications and organic program
  • Records – conduct routine checks to verify proper record keeping by Operations Staff
  • Reports to Management – obtain, input, tabulate FS data and forward to management as protocol

Health & Safety:

  • Prepare and administer Workplace & Housing Inspection documentation to the team on a monthly basis, retrieve, document, and setup JHSC meetings monthly to resolve on-going issues or maintenance of identified hazards
  • Monitor all policies and prepare for annual JHSC reviews and updates
  • Keep minutes of all meetings and track all corrective action of identified hazards as to completion
  • Provide training and track by logging each session
  • Ensure that all staff members are conducting and documenting due diligence in regards to administer proper corrective action
  • Work with translator to ensure all updated and revised copies are translated into Thai for our
  • offshore workers comprehension and training sessions
  • WC – monitoring paperwork, reporting workplace injuries, setup of ESRTW programs, compiling data of costs per claim and performance, following up with carriers
  • HAZMAT – tracking and hosting yearly training, ensuring all MSDS & Product labels are updated as needed
  • Training – ensuring all training is in place and up to date, forklift, Lock Out, Fall Arrest, Pesticide, etc.
Education: 
  • College/University degree in Office Administration and background in Human Resources

Working Environment:

  • Office setting
  • Environment includes a warehouse, greenhouse humid environment, temperatures vary from 50 degrees in the warehouse to 90 degrees in the greenhouse
  • Visual and audio sensory are needed regularly
  • Sitting, standing, walking and bending on a regular basis
  • Must have manual dexterity to perform computer skills
