Operation / Sales Assistant

POSITION SUMMARY
The Sales Assistant supports the Sales and Operations teams in the day-to-day execution of customer orders and produce programs. This position coordinates order processing, logistics, inventory, documentation, and sales related administrative activities to help ensure timely and accurate execution of customer requirements.
The role requires strong organizational skills, attention to detail, and effective communication with customers, carriers, warehouses, and internal teams.
KEY RESPONSIBILITIES
- Support the Sales and Operations teams with daily administrative and operational activities, maintaining proactive communication with customers, warehouses, carriers, and internal stakeholders. • Enter, process, and manage customer orders; prepare sales confirmations; and help ensure timely and accurate order fulfillment.
- Coordinate domestic transportation and shipments, including assigning lot numbers, preparing packing lists according to cold storage requirements, distributing shipping documentation, and uploading pallet information into the ERP system (Famous).
- Track customer orders, inventory, pricing, and product movements, including receiving, shipping, inventory consolidation, and repack transactions.
- Maintain accurate inventory and transaction records within the ERP system.
- Support invoicing, reporting, and sales data analysis by reviewing vendor invoices, reconciling operational costs - including cold storage, freight, quality control, and repack charges - and entering applicable costs into the ERP system.
- Monitor operational materials, including CHEP pallets, clamshells, labels, and PTI materials, to help ensure adequate inventory levels and accurate records.
- Assist in identifying and resolving order, shipment, inventory, and other operational issues to maintain efficient product flow and customer service.
- Develop and maintain knowledge of produce inventory management, pricing, customer requirements, and relevant market trends.
- Perform other related duties as assigned to support the Sales and Operations teams.
QUALIFICATIONS
- Bachelor's degree preferred, or equivalent relevant work experience.
- Strong organizational, communication, and problem-solving skills.
- High attention to detail with the ability to manage multiple priorities in a fast-paced environment. Proficiency in Microsoft Office, particularly Excel.
- Experience with ERP systems, such as Famous, preferred.
- Experience in the produce industry, food distribution, logistics, supply chain, or a related field is a plus. Bilingual, Spanish us a plus, not required.
PHYSICAL REQUIREMENTS
- Ability to sit for extended periods and work at a computer, Ability to occasionally lift up to 20 pounds
